How Same-Day Heating Service Works — Step by Step
What happens when you call for same-day heating service. The dispatch process explained from phone call to completed repair for Greater Vancouver homes.
Step 1: Call or Email Our Dispatch Team
When you call, you speak with a live operator — no automated menus. Describe the symptoms you are experiencing, your equipment type and brand if known, and any error codes displayed. Provide your address and contact phone number. Our dispatcher assesses the urgency and recommends emergency, same-day, or scheduled service based on your situation. If same-day service is appropriate, we check current technician availability in your area and schedule the earliest open slot.
Step 2: Technician Assignment and Preparation
Once your appointment is scheduled, the dispatch system assigns the nearest available technician who is qualified for your equipment type. The technician reviews your call notes, checks their vehicle inventory for commonly needed parts for your described symptoms, and begins driving to your location. You receive an estimated arrival window. The technician may call you en route if they need additional information about your system or access details.
Step 3: On-Site Diagnosis
Upon arrival, the technician introduces themselves and confirms the symptoms you described. They perform a systematic diagnostic assessment of your equipment, typically completed within 20-40 minutes. The diagnosis identifies the root cause, not just the symptom. The technician explains the findings in plain language, shows you the failed or failing component if accessible, and answers your questions before providing the repair recommendation.
Step 4: Written Estimate and Repair
Before any work begins, you receive a detailed written estimate showing the required repair, OEM parts needed, labour involved, and total cost. No work starts without your approval. Most same-day repairs are completed in 1-3 hours. The technician carries commonly needed parts including ignitors, flame sensors, capacitors, pressure switches, gas valves, control boards, and blower motors. If a less common part is needed, we can typically source it from our supplier network the same day.
Step 5: Testing and Completion
After the repair, the technician runs the system through a complete operational test to verify the repair was successful and all safety controls function correctly. You receive a summary of the work performed, any recommendations for future maintenance, and warranty information on the repair. Payment is processed and you receive a detailed invoice. Most customers are back to normal operation within 2-4 hours of their initial phone call.
